Training and Consultations

Consultations with OnCore Support can be scheduled on the UAHS Microsoft Bookings page. The Bookings page provides calendar of available times so that OnCore users can get the guidance they need on workflows and procedures. Consultations can be rescheduled or canceled as needed by clicking on the "Change your appointment" link in your confirmation email.

OnCore Training request form - Must be completed by all users

Prerequisites for Training

New users must complete and upload an signed OnCore User Agreement when submitting their OnCore Training Request Form.  The agreement must be signed by the user and the user’s supervisor prior to receiving access to OnCore. OnCore User Agreement can also be emailed to OnCoreSupport@arizona.edu.

Existing users who have changed departments and/or need to have an additional role added to their OnCore Profile (regulatory, study coordinator, etc.), will need to submit an updated OnCore User Agreement to TicketCat prior to the role being added. Additional training(s) may be required.

For best results, avoid using browser-based or other non-Adobe PDF readers to complete the agreement. We recommend installing Adobe Acrobat Reader or Adobe Acrobat Pro DC.

New users registering for training will also need to complete their HIPAA and CITI Human Research trainings to be eligible to access the eReg production environment. Completion of those prerequisites will be verified in EDGE Learning or UAccess Analytics so that users do not have to send them.

Mandatory Information Security Awareness Training Instructions

All UA employees, student workers and DCCs with access to University information resources are required to complete annual security awareness training.

Information Security Awareness Training can be completed in EDGE Learning, the University's new learning management platform.

Banner or Other Intuition: employees who need OnCore access will need to obtain a Designated Campus Colleague (DCC) status to take the OnCore trainings and meet the University of Arizona’s sign-in security requirements for OnCore.

Banner Employees: Please note that the Banner HIPAA training cannot be used as a substitute for the UA’s EDGE HIPAA training and Banner Cybersecurity Awareness training cannot be used as a substitute for UA EDGE Information Security Awareness training.

Banner CITI Human Research training is accepted for OnCore. Certificate of verification will need to be provided by the user and sent to OnCoreSupport@arizona.edu.

Other Institutional Employees: Please note that the CITI HIPS training cannot be used as a substitute for the UA’s EDGE HIPAA training and UA EDGE Information Security Awareness training.

Advarra University

SUBJECT MANAGEMENT TRAINING ONLY – (approximately 90 minutes)

FINANCIALS TRAINING ONLY – (approximately 77 minutes)

OnCore User roles and training requirements - New Users

OnCore User roles and training requirements - Inactive users

  1. Fill out the OnCore Training Request Form to request OnCore training.
  2. A calendar invitation will be sent for Subject Management training. This training is held in person.
  3. Complete EDGE Learning modules in the order listed in the OnCore Training Request Form email.
  4.  OnCore Support will create an account in Advarra University. The user will receive an email from Advarra University to activate their account.
  5. OnCore Support will send the user an email with the list of required Advarra University courses and a Word document containing specific information on each Advarra University course that pertains to the University of Arizona workflow.
  6. All EDGE and Advarra University courses MUST be completed by 5 pm the Friday before the scheduled Subject Management training. If the EDGE and Advarra University courses are not completed, the user will be rescheduled to the following month.
  7.  Your OnCore Training account will be activated within 24 hours prior to Subject Management training, an email will be sent from uahs-oncore-train-noreply@forteresearchapps.com.  Upon receipt, complete the following steps:
    • Click “Confirm Your Account”
    • Log into OnCore Training using your UA NetID
    • Bookmark the OnCore Training webpage
    • Set up your Homepage (refer back to the EDGE Course, OnCore Navigation)
    • Set up your Favorites Bar (refer back to EDGE Course, OnCore Navigation)
  8.  Attend Subject Management training, in person.
    • Attendees must take the required EDGE Learning and Advara University Trainings prior to attending Subject Management training.
    • Attendees must bring their own laptop or make arrangements with OnCoreSupport@arizona.edu prior to attending training.
    • Attendees must attend the full session. Participation is mandatory.
    • Enter a subject’s information during training.
    • Attendees must pass the quiz with a score of 80% or better.
  9.  Upon completion of all trainings and receipt of the OnCore User Agreement, a ticket will be submitted to TicketCat to request access for the user to OnCore Production (Live environment).
  10. Access to OnCore Production will be activated the week after OnCore Subject Management Training has been completed.

OnCore User roles and training requirements

  2.  A calendar invitation will be sent for Regulatory training. This training is held via Zoom.
  3. Complete EDGE Learning modules in the order listed in the OnCore Training Request Form email.
  4. All EDGE courses MUST be completed by 5 pm the Friday before the scheduled Regulatory training. If the EDGE courses are not completed, the user will be rescheduled to the following month. 
  5. Prior to Regulatory training, an email will be sent to the user from uahs-oncore-train-noreply@forteresearchapps.com. Upon receipt, complete the following steps:
    • Click “Confirm Your Account”
    • Log into OnCore Training using your UA NetID
    • Bookmark the OnCore Training webpage
    • Set up your Homepage (refer back to the EDGE Course, OnCore Navigation)
    • Set up your Favorites Bar (refer back to EDGE Course, OnCore Navigation)
  6. Attend Regulatory training, via Zoom.  
    • Attendees must attend via computer. Attending via phone is not allowed as attendees must be able to view the screen.
    • Attendees must attend the full session. Participation is mandatory.
    • Update status of a study to "IRB Initial Approval" in the OnCore training environment.
    • Attendees must pass the quiz with a score of 80% or better.
  7. Upon completion of all trainings and receipt of the OnCore User Agreement, a ticket will be submitted to TicketCat to request access for the user to OnCore Production (Live environment).
  8. Access to OnCore Production will be activated the week after Regulatory training has been completed.

After completion of Subject Management training, Finance Coordinators can take Finance Training held via zoom.

Required Advarra University courses before Finance training. (approximately 77 minutes)

Once the above Advarra courses are completed, send the three Advarra certificates to ctfinance@arizona.edu to be scheduled for financial training session via zoom.

Clinical Research Coordinators working on Summary Accrual studies only, are not required to take OnCore Subject Management Training.

If you are a Clinical Research Coordinator and you are working on Summary Accrual studies and you are helping with the IRB submissions, or you do not have a designated Regulatory Coordinator, you are required to take OnCore Regulatory training so you can update OnCore with the required IRB documents.

  • Training within this group is role-specific and you will be contacted after your OnCore training request has been submitted as to whom to reach out to for your training.
  • When filling out the OnCore Training Request Form:
    • For the College Name, select OTHER
    • Select the applicable Department Name
